Amending my shooting schedule

After meeting with my cast i discovered one of my actors wouldn't be available to film the next day, because of this i had to amend my shooting schedule to accomodate this change the day before production began. The changes i made involved which scenes i filmed, instead of  the first three scenes on day one i scheduled to film scenes 2 and 4 (ones where the missing actor wouldn't be present). Then i scheduled to film the scenes i'd need the actor in on day 2. It is important to amend the schedule so that i am aware of what i need from each day of filming based on availability. If i hadn't changed this schedule i would not be as organized during production, which could affect the quality of my work.

My 3rd meeting with the cast

meeting 3 from mollyallen19
This meeting was held the day before production day 1, we encountered a scheduling issue involving cast. Fortunately we were able to resolve it easily and rearrange the initial production schedule so that it was convenient for me ( the producer) and the cast/crew. Meetings like these are important because they allow you to communicate with your cast and ensure your production is efficient. Without these meetings i could encounter many communication errors that would affect my production.

Production schedule/ strip board

I created a production schedule to follow while filming, which includes all of the information i will need for each production day. This is important to carry out because they allow you to stay organized during production, so that you can produce a high quality film and manage a set professionally .

location release form/ permission for filming

its important to get permission film in privately owned locations to avoid any legal issues during the release of the film. Because my  house is owned, i had to seek out written permission. However, because the cemetery is a public area i didn't need a signature  for permission to film in that area. The only issue will be needing to avoid filming members of the public in the background because i haven't received a contributor form from them.

Outline Budget

Outline budget (1) from mollyallen19
I documented all of the expenses for my short film and calculated the budget for the project overall. It's important that you consider the expenses and budget before beginning production because it makes sure that you can arrange funding in advance. If i didn't carry out this procedure during pre-production I may not be able to afford a certain cost (such as a prop) and it could cause issues with shooting schedules.

Health and safety evaluation.

Risk assessment template. copy from mollyallen19
I completed this task to ensure the cast/crew stay safe while filming in the different location. Not filling out this paperwork could cause numerous issues, for example injury. If you don't carry out the paperwork and someone in your cast/crew get injured, you could face legal reprecussions. This paperwork must be filled out and kept with you during filming as proof.

location scouting sheet

Location scouting from mollyallen19
It's important to fill out the paperwork for location scouts as proof that you have took the appropriate measures to fully evaluate each filming location. location scouting should be carried out so that you can ensure each location you film in during preproduction is the most efficient option, allowing you to make measures to prepare for your production.

location scouting

I did a recce for the first location in my short film, in the picture is the chair i will use to film the first scene. This location is appropriate because it allows me to shoot the first scene without transporting the equipment long distances, it also gives me access to food, electricity and other facilities for my cast/crew. Finally, the lighting is to a good standard and there is minimal ambient sound. It is important to scout out your shooting locations beforehand in order to determine how suitable they are, as well as allowing you to determine the optimal location that suits you film. If you don't scout out your locations you may not be able to use or access them during production, interfering with shooting schedules.

I also did a recce for the second filming location, a cemetery located in Sunderland. The pictures show each spot i will film in for different scenes. This location is appropriate for my short film because it is public and a short distance to travel, meaning i don't need to seek out filming permissions. It also fits the genre of my film, creating a mise-en-scene that sets the tone of the film. However, because it is outside there is the issue of ambient sound. This means i will have to avoid wind during shooting. I will bring my own props to this location.

Personnel list

Personnel list from mollyallen19
This is the personnel list for my short film, it's important to have all personnel and their contacts documented in order to organize shooting schedules and contact the if necessary. Communication between the producer and cast/crew is important for efficiency.

Equipment/ Resource List

Resource list from mollyallen19
This is the Equipment list, documenting all of the resources required during the production of my short film. These lists are important because it means the i will have access to all of the necessary equipment when i go to shoot my film, allowing me to stick to shooting schedules and produce high quality footage.

Meeting number 2

Scanned from a xerox multifunction printer 2 copy 2 from mollyallen19
This is the second meeting i arranged with Lauren (actor), she was unable to attend the initial meeting  i held with the cast. This meeting was important because i received her written permission to have her in my film and we were able to discuss what was required from her during production.

Contributor release form

Scanned from a xerox multifunction printer 2 copy from mollyallen19
This is the contributor release form for the second actor in my film, which is important to document because it states that i can use her in my film and upload it online. Not having this form signed before production means that actors can retract their permission and stop you using the footage you filmed.

Meeting with the cast

This is the meeting minutes form for the first meeting with my cast yesterday, we discussed the script and what days they were available for possible filming dates. Unfortunately one of my cast was unable to attend, we arranged a second meeting to brief her on the information she missed. These meetings are important during pre-production because they allow you to communicate with your cast and work with them professionally.

contributor release form for a member of my cast

This is the form the cast has to sign in order to give permission to be used in films etc. if you don't get  written permission during pre-production it can cause major issues during post-production. For example, the cast could change their mind and you would no longer be able to use the footage you have filmed and edited.

camera shot list

Scanned from a xerox multifunction printer 4 from mollyallen19
Camera shot lists ensure that you are aware of everything you need to film for each scene, so that you don't forget a section from  certain scene and ruin continuity. If you didn't prepare a shot list in advance there is a chance you won't film a shot the way you wanted, or worst case scenario it would affect you time management and schedule.

A more detailed draft of my storyboard.

Sb from mollyallen19
I produced a more detailed storyboard, one that shows what will be onscreen in more detail. This was important because it means that during production i have all of the scenes planned out, so i know how each shot should looks and it will allow me to work more efficiently.
